URBAN MOTION – TERMS & CONDITIONS
Applies to all Weekly Classes, Afterschool Programs, Camps, Workshops, Events & Training Programs
1. Child’s Safety & Wellbeing
a. Parents/guardians must inform Urban Motion of any medical, behavioural, emotional, additional needs, or allergies that could impact participation.
b. It is the responsibility of the parent/guardian to ensure their child is physically, emotionally, and mentally fit to take part in dance or movement-based activity.
c. While injuries are rare, movement activities carry natural physical risk. By enrolling, you accept full responsibility for your child’s participation and agree that Urban Motion is not liable for accidental injury, except in cases of proven gross negligence.
d. In emergencies, you authorise Urban Motion coaches to:
- Administer basic first aid, and
- Seek medical assistance where required.
e. Children who are unwell (fever, vomiting, contagious illness, diarrhoea, etc.) must not attend sessions. Urban Motion reserves the right to send a child home for health or safety reasons.
2. Toileting & Hygiene
a. Coaches are not permitted to assist any child with toileting, including:
- Entering cubicles
- Pulling trousers up/down
- Wiping
- Any form of personal care
b. Children must be fully toilet independent to attend classes without a parent on-site.
c. If your child may need assistance, a parent/guardian must remain on-site for the full session.
d. Toilet accidents will require a parent to collect or return immediately.
e. Parents must ensure their child arrives with:
- Clean hands
- A filled water bottle
- Appropriate clothing & footwear
- Good personal hygiene
This is essential in active, physical environments.
3. Behaviour & Conduct Policy
a. All students must treat staff and peers with kindness, respect, and positive behaviour.
b. Bullying, aggressive behaviour, discrimination, shouting, or repeated disruption may result in:
- A parent being called to collect their child
- Temporary suspension
- Permanent removal from the program
c. Urban Motion reserves the right to remove a student if behaviour affects the safety or enjoyment of others. No refunds will be issued in these cases.
4. Photography, Media & Marketing
a. By enrolling, you give permission for Urban Motion to use photos/videos of your child for:
- Social media
- Website
- Printed materials
- Training resources
- Promotional content
Unless declined at the time of registration.
b. You may request removal or opt-out at any time by emailing us.
5. Weekly Classes Billing & Subscription Policy
Urban Motion weekly classes operate on a monthly subscription model.
a. Subscription Model
- Monthly fee = same amount each month
- Secures your child's place regardless of attendance
- Automatically renews on the 1st of every month
- No pay-as-you-go option for weekly classes
b. Trial Period
- All trials are 2 sessions minimum.
- Trial fee covers the first two classes only.
c. Post-Trial Remainder of the Month Policy
After trials, the remainder of the month must be paid.
On the 1st of the next month, parents pay:
- The next month’s subscription, and
- The remaining balance of the month the child started,
- Minus the trial fee already paid.
Example:
Trial paid = ÂŁ30 (covers 3 classes)
September membership = ÂŁ34
Remaining September balance = ÂŁ4
On 1st October: ÂŁ34 + ÂŁ4 = ÂŁ38 total
d. Missed Classes
- Missed sessions are non-refundable.
- Fees secure your child’s place and coach allocation, not attendance.
e. Failed Payments
If a payment fails:
- The system will retry automatically
- Urban Motion may contact you
- Continued failed payment may result in removal
- Outstanding balances still remain due
6. Cancellation Policy (IMPORTANT)
To cancel a weekly class subscription:
a. Notice Period
- 2 weeks’ notice is required
- Cancellations take effect at the end of the month
b. Payment Still Due
Even if your child stops attending during the notice period:
➡️ The full month’s fee is still required
This protects class spaces and ensures fairness for all families.
c. How to Cancel
Parents MUST contact Urban Motion directly.
Cancelling through booking systems alone does not complete cancellation.
d. Rejoining After Cancellation
- Places are not held once cancelled
- Children may be placed on a waiting list
7. Camps, Afterschool Programs & Workshops
These services operate separately from weekly subscriptions.
a. Payment
- Full payment is required at the time of booking
- Spaces cannot be held without payment
b. Refunds
- No refunds for missed days or non-attendance
- Exceptions may be made only for:
- Medical emergencies
- Long-term illness
- Exceptional circumstances (case-by-case)
c. Behaviour & Safety
Same behaviour expectations apply as weekly classes.
Any child who poses a safety risk may be removed without refund.
d. Collection & Drop-Off
Parents must drop off and collect promptly.
Staff are not responsible for children outside scheduled times.
e. Afterschools Supervision
- Urban Motion is responsible only during the session start–end time
- After-school dismissal procedures follow each school’s policy
8. Schedule Changes
Urban Motion may need to:
- Change venues
- Adjust weeks
- Change coaches
- Modify curriculum
- Reschedule sessions
Where possible, parents will be notified in advance.
If Urban Motion cancels a session, a makeup session, credit, or alternative option will be offered.
9. Communication Policy
a. By enrolling, you agree to receive:
- Emails
- Texts
- Important updates
- Reminders
- Marketing content
You may opt out at any time.
b. Parents must ensure their contact details remain up to date.
10. Liability Waiver
By participating in any Urban Motion program, you acknowledge:
- Dance and physical activity carry natural risk
- Urban Motion is not responsible for accidental injuries
- Parents accept full responsibility for their child’s participation
- Urban Motion is only liable in cases of proven gross negligence
11. Agreement to Terms
By enrolling in any Urban Motion service, you confirm you have read, understood, and agree to these Terms & Conditions.
